Create and Use a Safety Briefing Sign Off Template in Field Reports (Mobile)

Creating a Safety Training Sign Off template in Field Reports is an efficient method for documenting safety briefings, attaching training materials, and collecting digital signatures from attendees. This guide will walk you through the process of creating a Safety Briefing Sign Off Report template on the mobile busybusy app, which your teams in the field can easily access within Field Reports.

Access Report Templates

  1. You can access your daily reports and report templates from either the Reports tab or the Supervisor Tools tab.

    1. From the Reports tab, scroll to the bottom and click Daily Reports.

    2. From Supervisor Tools tap More then Field Reports.

  2. Once you’re in the reports, tap the three dots in the upper right corner and select Manage Report Types.

  3. Tap on the plus button to create a new report type.

Build the Template

  1. Name the Template: Give your report template a descriptive name, such as Safety Training & Sign Off Report (or whatever works for your company).

  2. Assign Access: Choose which company position should have access to this report template.

  3. Customize Appearance: You have the option to select a color theme for your report or leave it as the default color.

Report Sections

  1. Choose Sections: Decide which sections you want in your template. Disable unnecessary sections and enable the Safety section, Employee Sign Off section, and the main Sign Off section.

  2. Safety Section: Enable the ability to attach training materials. This allows users to access the safety training library and attach training material to their sign-off report. You can also create a training checklist if needed.

  3. Employee Sign Off: Modify the wording above the signature lines if desired.

  4. Sign Off: Customize the signature text as needed, which will appear with the safety presenter’s signature.

  5. Save Changes: After customizing each section, tap Done to save your edits and additions. When you’ve finalized the template, click Done in the top right corner to save everything.

Use Your New Template

  1. Create a New Report: Once you’re done with a safety training, tap on Field Reports.

  2. Select Project and Report Type: Choose the project and select your custom safety training template.

  3. Add the Date: Today’s date is automatically populated, but can be edited.

  4. Attach Training Material: Tap on Safety and add any relevant training material, as well as any comments.

  5. Select Attendees: Under Employee Sign Off, select which employees were present for the training.

Remember to double check that all attendees have been added to the report before finalizing and signing. Adding additional employees after signatures have been collected will require everyone to re-sign.

  1. Preview and Sign: Tap on Preview Report to review what’s on this report. After ensuring all details are correct, tap Sign and pass the device for attendees to add their signatures.

  2. Finalize and Submit: Once all signatures are collected, submit the report. It will now be stored in your Field Report library.
