A geofence allows you to create a GPS boundary around a project's location. You can then turn on On-Site Verification to manage clocking into the project and/or Reminders to prompt your employees to clock in, out or switch. These features are super helpful for companies running multiple projects, multiple crews, and whose crews might forget to clock in or out occasionally!

Creating a Geofence from the Web

In busybusy, a company can use GPS Location abilities to create a virtual fence around a project. A geofence can be set when the project is entered into busybusy, (click here to read how) or can be added to the project after the fact. These geofences can be set for just the “main”, “parent”, or “root” project, and not be enforced on sub-projects, allowing different geofences to be used for sub-projects. Or you can use the same geofence for the project and all associated sub-projects.

Step One: Accessing Project’s Settings

  1. From the Left Navigation Menu, select Management Lists and click on Projects.

  2. Select the name of a project you’d like to create a geofence for.

Step Two: Pinning the Geofence on the Map

  1. Select GPS Location on the upper right of the screen in the GEOLOCATION section.

  2. Begin entering the address in the Geolocation field. Make sure you're typing the address, not copy and pasting.

  3. Once the address begins populating underneath and you see it listed, click on it from the dropdown to pin it on the map.

    • You have to select the address from the drop down. Selecting “Enter” on your keyboard will not pin it on the map.

  4. Scroll down to the bottom of the map and select Update.

You can also create a Geofence at the Subproject level. This typically happens when our clients integrate their busybusy account with Quickbooks. It syncs and mirrors their Project structure from Quickbooks into busybusy. After integrating, Projects in busybusy are customers in Quickbooks and jobs are nested within each Project as Subprojects. They will then need to create a Geofence at the Subproject level since those are their actual jobs in the field their employees will clock into.

If you have subprojects and would like to add the geofence to a subproject and not the parent project, make sure you select the subproject’s name on the upper left side of the screen. The subproject’s name you clicked on should appear in blue letters and the header should read the subproject’s name displayed above the Details tab on the screen.

On-Site Verification

With On-Site Verification enabled an employee MUST be within the geofence of the project to clock in. This prevents employees from clocking in when they are not actually at the job site!

Step One: Accessing Project’s Settings

  1. From the Left Navigation Menu, select Management Lists and click on Projects.

  2. Select the name of a project you’d like to enable On-Site Verification for.

Step Two: Pinning the Geofence on the Map

  1. In the GEOLOCATION section select On-Site Verification.

  2. A window will pop up allowing you to choose On, On-Apply to Subprojects or Off from a drop down menu.

  3. On: Enforces On-Site Verification for the project or sub-project being added or edited.

  4. On-Apply to Subprojects: Enforces on-site verification for projects AND subprojects related to the “root” project.

  5. Off: Turns off On-site Verification and does not enforce geofence boundary policies.

  6. Select Update

Geofence Reminders

With Reminders turned On for a project’s geofence, an employee will be prompted to clock in as they approach the project, and to clock out or switch as they leave the geofenced area.

Step One: Accessing Project’s Settings

  1. From the Left Navigation Menu, select Management Lists and click on Projects.

  2. Select the name of a project you’d like to enable Reminders for.

Step Two: Pinning the Geofence on the Map

  1. In the GEOLOCATION section select Reminders.

  2. A window will pop up allowing you to click the box, enabling this feature.

  3. Select Update

Good Things to Know about Geofences

  • These features rely heavily on the GPS setting under the Mobile section in the Employee Profile.

  • The geofences will not automatically clock in or out a user based on their location.

  • Geofences are only available as a circular shape.

  • The accuracy of a geofence is within 100 meters.

  • Projects that are currently being worked on will be visible in the Map on your Left Navigation Menu.

  • You can make a geofence larger or smaller, or relocate it for accuracy:
