How to Manage, Upload, and Download Your Photos & Notes

Are you one who likes to have a visual of your progress or maybe you like good documentation of before and after? Help organize your projects by cataloging photographs of the work being done inside busybusy! With busybusy’s Photos & Notes feature, you can upload photos and notes to projects to help keep track of what is being done!

In this article, you can learn more about the Photos & Notes feature within busybusy! Encourage your team to take photos and leave notes of the work they are doing on each project. These will be stored with the rest of the project's data

On the Web

Finding Photos & Notes

On the main navigation menu on the left side of your screen select Photos, here you will find both your photos and notes associated. On the overview page, all of your photos and notes will be displayed, with the most recent being at the top.

Filter the content being shown by using the Filter on the right-hand side of the page. (If you don’t see the Filter, then click the three horizontal lines in the top right corner of the page.)

You can filter by:

  • Start & End Date

  • Project

  • Project Group

  • Employee who uploaded

  • Employee Group

  • Position

Select Apply when ready to apply your filter.

You can adjust your view of your photos and notes by selecting the grid icon in the upper right-hand corner to the left of the filter. This grid view makes it easier to scroll through or look over several entries.

Clicking the Create button will allow you to create an entry by uploading photos from your computer or adding a note to a project.

You can access your photos and notes on a per-project basis by selecting Projects in the left navigation menu, selecting your desired project, and then choosing Photos on the right-hand side of the page. This will take you back to the Photos feature with a pre-filled filter for that project.

The same principle applies to employees. If you want to see all of the photos and notes uploaded by a particular employee, you can select Employees in the left navigation menu, select your desired employee, and then choose Photos on the right-hand side of the page. This will take you back to the Photos utility with a pre-filled filter for that particular employee.

Managing Photos & Notes

Selecting a photo will enlarge the thumbnail to take up your entire window. In the bottom right corner, you can:

  • Compass - Selecting the compass icon will show you where that photo was taken on a map. If the compass icon does not appear the GPS location may not have been collected at the time that the photo was taken.

  • Trash Can - If you wish to delete an uploaded photo or note. (This is permission based-read more about position permissions here.)

  • Information Icon - Clicking this will open a log where you can see details such as: when the photo was taken, who uploaded the picture, the date of the upload, and which project, along with a description.

  • Download Icon - You can download entries to your computer. Note - busybusy currently doesn’t have an “expiration” date on your photos or notes.

  • Using the Arrows on the left and ride sides of the photo will allow you to navigate through the pictures.

  • Exit - Selecting the exit icon will take you back to the list view.

Perform bulk operations by checking the boxes to the left of the entry. You can either choose one at a time or hold down SHIFT on your keyboard and perform a bulk selection by choosing the beginning and ending photo/note (busybusywill select all in between your selection). Once you have your photos and notes selected, you can delete them by clicking the Trash icon in the top banner, or clicking the Download icon to download the items to your computer.

Photos & Notes are a great way to take advantage of the cameras on today’s smartphones. Capturing photos and making notes of jobs and illustrating what is being worked on is a powerful tool that can be used in many creative ways.

On IOS

Photos & Notes will appear in the left navigation menu by selecting the three horizontal lines in the top left corner. Once open, the most recent entries will display at the top.

  • You can adjust your view of the entries by selecting the grid icon in the upper right-hand corner. (This makes it easier to scroll through more photos and notes).

  • You can also upload photos or create a note by selecting the “+” icon in the upper right corner.

  • You can filter by a project by selecting the drop-down at the top of your screen in the middle.

Selecting the thumbnail of the photo will enlarge it for better viewing. In the lower right-hand corner, you will see various icons:

  • The information icon - Selecting the Information Icon will open a log where you can see details such as when the photo was taken, who uploaded the photo, the date of the upload, and which project, along with a description.

  • Location Icon - Selecting the Location Icon (if available) will show you where that photo was taken on a map.

  • Share Icon - Use the Share icon to send the Photo/Note using email, Mail, or other messaging apps. Or save the photo directly to your device.

  • Selecting the three dots next to the project name will give you the ability to view the details of the entry, or delete the entry (if you have permission to do so).

On Android

Q&A’s About Photos & Notes

Q: When I go to Photos & Notes, I don’t see my photo, I just see “processing”. Why?

A: When a photo is uploaded to the busybusy app, busybusy relies heavily on the mobile device it is running on to prioritize the upload. Depending on the strength of the network connection, and the phone’s ability to manage background uploads, photos can take time to upload. We recommend making sure that the network the device is connected to is strong and that busybusy remains open to have priority to upload the photos.

Q: My employees are uploading photos, but nothing makes it into busybusy. Why?

A: A few things can cause this. The first thing we recommend checking is on their device. Open busybusy, select Settings at the bottom of the navigation menu> Select Photos> Make sure that “Upload Images Only On Wi-Fi” is in the desired setting. Past this setting, we remind you to make sure that their app is up to date to the most current version of busybusy and that they have a strong network connection.

On Android, the path is Settings> Preferences> Upload Images Only on Wi-Fi.

Q: I can’t edit a Photo or Note. Why?

A: We limit the ability to Edit a photo/note to the individual who uploaded it. The reason is for data accuracy purposes. If you wish to have a Photo or Note changed, you can reach out to the individual who uploaded it, and they can make those adjustments.
