In the ever-evolving world of workforce management and time tracking, busybusy has once again taken a significant step forward with new reports to increase geofence awareness! Our new GPS Outside Project report gives you greater insight than ever into employees’ movements outside of your designated project boundaries. This report is available on both the web and mobile for our users with Pro accounts and allows you to easily identify employees tracking time outside your project geofences, so you can trust but verify that your employees are on the job site when they’re supposed to be.

GPS Outside Project Report

You can easily access our new GPS Outside Project report on the web under the Verification & Safety section in your left side menu. This report grabs time entries from employees that clocked in, took their break, clocked out, or traveled outside a project’s geofence.

Review Entries

When a time entry location is flagged, the GPS Outside Project report will display the employee name along with the date and time of the entry. It also shows the status of the flagged entry (more on this later), the project, and the maximum distance the employee was away from the project while clocked in. It will also give you the details of who reviewed the flagged entry and any comments that were added.

You can use the right side filter to adjust the time frame you’re looking at, as well as specify additional details to help you dial in on the information you’re looking for:

  • Status: choose between Authorized, Unauthorized, and Pending Review.

  • Employee: select a specific employee to view details for.

  • Project: select a specific project to view details for.

  • Reviewed by: filter to show entries reviewed by a specific user.

Good to know: If an employee switches projects during the day, the GPS Outside Project report will show two entries, one for each project. This lets you easily review the locations on a project by project case so that you have more control over the data and what is being authorized.

Let’s talk about the status column. When a location is flagged it will show that it is Pending Review. You can easily review the entry by clicking on it then marking authorized or unauthorized. If you have an employee who had to make a trip to the hardware store or meet with a client, you can mark the flagged entry as Authorized and add in any notes you need. If you’re noticing that an employee is clocking in from home when they’re not supposed to, you can mark the flagged entry as Unauthorized and add any notes that you need.

If you have already reviewed an entry but need to go back and change the status, you can easily do so by clicking the entry then clicking the pencil icon. You can change from Unauthorized to Authorized and vice versa, as well as edit the notes if needed.

You can customize which users are able to review these GPS entries with our new Authorize GPS Pins for permission. You can adjust this permission by going to Settings > Positions on the desktop version of busybusy.

On Mobile

This awesome report is also available on mobile! You can access it by going to Supervisor Tools > More > GPS. The report is limited to single day view only on mobile but has the same details as the web report, and supervisors are also able to bulk edit on their apps.

Supervisors are able to get push notifications when an entry with a flagged location is ready to review. In order to get these notifications, they’ll need to make sure that they have the employee added to their crew in Supervisor Tools and that they’ve given the busybusy app permission to send them notifications.

Settings you need

This new report is amazing, and in order to get the most from it you’ll need to make sure that you have certain settings turned on in order to make it work properly. Here is a list of what you’ll need in order to use this report:

  • Project Geofence: there won’t be any boundary data available if there isn’t a boundary set, so make sure you go in and add those geofences to your projects! Please check out our article HERE if you need help setting up a geofence on your project.

  • Project Location Flagging (Employee): this setting can be found in your employees’ details. Go to Management Lists > Employees to adjust the setting for your employees. This restriction is on by default for any employee who has their location set to required.

  • Project Location Flagging (Project): can be adjusted by going to Management Lists > Projects. This is turned on by default for projects that already have a geolocation set.

Important: If the project location flagging setting is turned ON for an employee but OFF for a project, the employee’s GPS pins will not be flagged when they’re clocked into the project. It needs to be turned on for both the employee and the project in order to trigger the flagging.
