Is your company losing money on employees clocking in before they are scheduled and using that time doing personal things? If so, you need time-based or schedule-based clock-in restrictions. The clock in restriction feature prevents an employee from clocking in before a certain time or clocking in on a day or at a time they are not scheduled.

What is a Clock In Restriction?

In busybusy, there are three ways to restrict clock-ins:

  1. On-site Verification

  2. Time-based restrictions

  3. Schedule-based restrictions

These features help avoid paying for costly things like:

  • Unscheduled time - do some employees clock in for drive time when it’s not approved?

  • Early clock-ins, ever have someone clock in while still sitting in their car?

  • Unsupervised clock-ins, is it a safety requirement that more than one person is on-site before work begins?

On-site verification uses geofencing to ensure an employee is onsite before clocking in. That is covered in our article Create A Geofence & Manage Clock-in & Reminders.
This article will cover time-based restrictions and schedule-based restrictions. Both types of these restrictions can easily be set in Company Settings >> Positions. Whichever restriction you choose, please note that it will be in effect for all of the users that have that Position designation. For example, if you want ALL employees that are assigned as “Foreman” to be restricted to clocking in no earlier than 7 am, we can do that! But we can’t restrict Foreman George and not Foreman Stan. Restrictions can also be set by using the Scheduling Tool in busybusy.

How do I set up a time-based restriction?

From the web:

  1. Select Settings >> Positions

  2. Select the Position you want to restrict

  3. Scroll down to Other >> Click in Clock-In Restrictions box

  4. From the drop-down menu select Start Time

  5. Enter the start time desired and select Update

  6. Repeat the process for any positions needing the restrictions.

From iOS or Android mobile devices:

  1. Select Settings >> Company >> Positions

  2. Select the Position you want to restrict

  3. Scroll down to Clock in Restrictions and select

  4. Scroll to Start Time >> Close

  5. Enter the start time desired >> Close

Good to know: If employees have permission to edit their schedules, you may consider disabling Manage Schedule Permission since this could potentially override the start time restriction.

How do I set up a schedule-based restriction?

From the web:

  1. Select Settings >> Positions

  2. Select the Position you want to restrict

  3. Scroll down to Other >> Click in Clock-In Restrictions box

  4. From the drop-down menu select Schedule Only

  5. Go back to the Left Navigation Menu and select Scheduling

  6. Create a schedule with employees/times

From iOS or Android mobile devices:

  1. Select Settings >> Company >> Positions

  2. Select the Position you want to restrict

  3. Scroll down to Clock in Restrictions and select Schedule Only >> Close

  4. Go back to the Dashboard and select Scheduling

    • Click on the + in the upper right corner

    • Create a schedule by filling in all fields >> Done

Good to Know about Clock In Restrictions

  • When using scheduling for the restriction, if an employee isn’t scheduled to work on a specific day and needs to work, they will need to be manually clocked in or added to the schedule.

  • Clock-in restrictions can’t be set for anyone in the admin position.

  • If a time restriction is set, but the employee is also scheduled for an earlier time, they can clock in. Scheduling overrides the time restriction.

  • A red banner pops up when an employee tries to clock in before a set start time stating “Clock in restricted until x: xx am."

    • Clicking the circle with the i, next to the message will indicate why the clock in is restricted.

  • A red banner pops up when an employee tries to clock in when not scheduled, stating “Not scheduled to work.”

    • Clicking the circle with the i, next to the message, will indicate the time the employee is scheduled or that they aren’t scheduled at all.
