Use the Export & Re-import Method to Add New Subprojects to Multiple Existing Projects (Web)

Do you want to add multiple subprojects to projects that already exist within busybusy? Now you can! Don’t worry... it’s easier than you think. We'll walk you through it here.

Add New Subprojects to an Existing Project using the Export and Re-import Method

Step One: Get started

1. From the left navigation menu select Management Lists

2. Select Projects

Step Two: Download the project information in a csv file

1. Click the box next to the projects you want to add subprojects to

2. Click the 3-dot stack in the upper left corner of the gray stripe banner that appears

3. Click Export Projects

4. Give the Project File a name and select a location to save it on your computer where you’ll be able to find it again

5. Click Save

Step Three: Open the Newly Downloaded csv File

Understanding your Exported Project CSV File

Projects and subprojects are listed in rows. Subprojects will be listed in the row underneath their parent project. Project and subproject information (e.g. project number, address, phone numbe, gps coordinates) that has been created in busybusy will be included in the exported csv file. The main project name is listed in the Project Name column. Direct subprojects of the main project are listed in the Project Name Lvl 2 column. Subprojects of subprojects are listed in the Project Name Lvl 3 - Project Name Lvl 7 columns.

Pro Tip: You can delete any unused (empty) columns. This can make your spreadsheet easier to work with.

Step Four: Prepare to Create New Subprojects

1. Locate and Identify the rows with the Main/Parent Project information for each different project

  • The Main/Parent Project row will have the project name in Column I and Columns J-O will be empty (see yellow rows in image below)

2. Locate and Identify any preexisting subproject rows for each project

  • If there are any existing subprojects they will be listed in the rows underneath the main parent column, with the project name listed in Column I and the subproject name listed next to it in Column J (see blue rows in image below)

  • If there are no preexisting subprojects proceed to Step Six

Step Five: DELETE all preexisting subproject rows for each project. DO NOT delete the main project rows.

  • Yes, you read that right. Delete all preexisting subprojects for each project by highlighting all the rows with any subproject information in them and press the delete button. Reason: These subprojects already exist in busybusy and we can’t re-import their information back into busybusy. Deleting information on this spreadsheet DOES NOT and WILL NOT delete projects or subprojects within busybusy. They will still be there.

Step Six: Create new subprojects for each project

1. On a Main Project Row (see Step Four-1) type the new subproject name in Column J Project Name Lvl 2

  • The subproject name should be directly to the right of the project (see image below)

2. Edit subproject information. The information displayed in this row will be attached to your subproject. Make any needed changes to addresses, phone numbers, etc. Designate location-based reminders, and/or Onsite Verification for this subproject.

  • You can delete any information in this row EXCEPT for the Project Name and the new subproject name. The subproject name should always appear directly to the right of the project name.

3. Create additional subprojects for this project

  • Copy the subproject row created in Step Five

    • Highlight row by clicking on row header and pressing Ctrl + C

  • Paste the row underneath it

    • Ctrl +V

  • Change the name of the subproject in column J to a new subproject name

4. Repeat Step Six for all projects

Reminder: Subprojects under the same project must have different names.

  • Edit subproject information. The information displayed in this row will be attached to your subproject. Make any changes to addresses, phone numbers, etc as needed. Designate location-based reminders, and/or Onsite Verification for this subproject.

  • You can delete any information in this row EXCEPT for the Project Name and the new subproject name. The subproject name should always appear directly to the right of the project name.

  • Repeat for all desired subprojects within this Project.

    • You can insert new rows if needed.

Important: Once all your subprojects for all your projects have been created, delete any empty rows. See image below.

Step Eight: Save your file

Step Nine: Reimport your file into busybusy (almost there!)

1. Navigate to your Projects page within your busybusy account

2. Click the 3-dot stack in the upper right corner

3. Select Import Projects

4. Click the Import button

5. Locate the .csv file you just saved on your computer. Click on the file to select it and hit Open.

Note: If you receive any error messages, read the provided prompts carefully, return to your .csv file, make the needed corrections, double checking that Step Four through Step Seven were completed correctly, save your file and repeat Step Nine again.

6. The Upload Projects page will open within busybusy showing your soon-to-be uploaded subprojects next to their parent project in the Project Path Column (example: City Hall Remodel / Phase 2)

Step Ten: Finish the Process by clicking the ‘Create All’ button in the upper left corner

Congratulations! You have successfully imported new subprojects to an existing project using the Export/Re-Import Method!

Accessing your Newly Created Subprojects

1. From the left navigation menu select Management Lists

2. Select Projects

3. Click on the project you wish to view the subprojects for

4. You can see your newly created subprojects in the upper left corner underneath the parent project.

5. You can also access your subprojects by clicking on the Subprojects tab next to Details.
