Create a Safety Training Meeting (Mobile)

There are two ways to create a safety training meeting in busybusy’s mobile app: one for positions with permission to perform safety trainings and one for those with permission to manage safety trainings. This article will guide you through both methods, detailing how to create a safety meeting either for yourself or for other instructors.

Method 1: For Positions with "Perform Trainings" Permission

Employees with the Perform Trainings permission can create a meeting with themselves as the instructor. Here’s how to do it:

Steps to Create a Safety Meeting (Perform Trainings Permission):

  1. Navigate to Supervisor Tools:

    • Open the busybusy app and go to Supervisor Tools.

  2. Select Safety Training:

    • Tap on More, then tap on Safety Training.

  3. Create a Meeting:

    • Tap the + button to start creating a new meeting.

  4. Fill Out Meeting Details:

    • Date: Select the date and time for the meeting. This will auto-populate to tomorrow's date at 7:00 AM. Adjust as needed.

    • Training Material: Select training materials from the preloaded library or custom PDFs. (See details on how to select training material in Method 2 below.)

    • Title: The app will auto-fill this field with the selected training material's name. You can modify it if needed.

    • Project (Optional): Assign the meeting to a specific project.

    • Attendees: Choose the employees you want to attend the meeting. Additional attendees can be added later.

    • Notifications: By default, this toggle is on, sending notifications when the meeting is created and again right before it starts.

    • Details: Provide additional context, including a description and instructor information.

  5. Save:

    • Once all details are filled out, tap Save to create the meeting.

Important

Since the user creating the meeting has the Perform Trainings permission, they are automatically set as the instructor. The option to select an instructor will not be available in this method.

Method 2: For Positions with "Manage Trainings" Permission

Employees with the Manage Trainings permission can create meetings for other instructors, providing more flexibility in planning and scheduling.

Steps to Create a Safety Meeting (Manage Trainings Permission):

  1. Navigate to Safety in the Main Menu:

    • Open the busybusy app and tap on Safety from the main menu.

  2. Create a Meeting:

    • Tap the + button to begin creating a new safety meeting.

  3. Fill Out Meeting Details:

    • Date: Set the date and time for the meeting. This will auto-populate to tomorrow's date at 7:00 AM. Adjust as needed.

    • Instructor: Tap on the Instructor field to select the employee who will lead the training. Only employees with Perform Trainings permission will appear in this list.

    • Training Material:

      • Tap Training Material to access the list of preloaded materials and custom PDFs.

      • Use the search option to find the safety topic you need.

      • Use the Filter by Source option to filter by sources like OSHA, CPWR, or custom uploads.

      • To upload a new PDF, tap the + button, select the file, give it a title, and then tap Save. The new document will be added to your library.

    • Title: The app auto-fills this field with the name of the selected training material. You can modify it if needed.

    • Project (Optional): Assign the meeting to a specific project.

    • Attendees: Select the employees you want to attend the training. More attendees can be added later by editing the meeting.

    • Notifications: The notification toggle is on by default. This sends notifications to both the instructor and attendees when the meeting is created and a reminder when it’s about to start.

    • Details:

      • Description: Provide additional context for the meeting.

      • Instructor Information: Include specific instructions to guide the instructor during the training.

  4. Save: Once all fields are completed, tap Save to create the meeting.

Tip

Meetings created through this method will appear under the Scheduled tab for both the selected instructor and attendees.
