busybusy’s Sign In Questions are now customizable. Create a question for employees to answer before they can clock in when you have a Pro account.

Asking employees a few questions before they clock in can be useful. Perhaps you’re wondering if an employee has all their safety equipment, or maybe your state requires screening for illness before employees are allowed to begin their workday. You have questions, and now you can get answers!

busybusy allows customizable ‘yes or no’ questions to ask employees before they can clock in, further helping you manage liability by flagging answers and addressing potential issues quickly. How to Create Customizable Sign-In Questions

Step One: Navigate to the Settings page

  1. From within your busybusy account, scroll down and select Settings using the left navigation menu.

Step Two: Click on Daily Sign In/Out

  1. On the Settings page

  2. Select Daily Sign In/Out.

Step Three: Select DAILY SIGN IN.

  • Note: If your company hasn’t enabled Daily Sign-In questions yet, a pop-up window will appear asking you to enable the feature. Check the box, and you will be able to create a new sign-in question or access the pre-created question templates.

Note about COVID Questions

If you are currently using COVID screening questions they will show up here. You can now manage individual COVID questions by clicking on them and editing them or deleting them if you wish. In addition, a template has been provided if you are not currently using COVID sign-in questions but would like to. Select Templates drop-down box and select COVID-19 Questions. A preview of the COVID Questions will appear. Click on the Submit button at the bottom of the screen, and the questions will automatically appear in your Sign-In Question box. These COVID-19 questions are also customizable by following the steps found in the Edit a Previously Created Question article, found HERE.

Step Four: Create a New Question

  1. Select + Create Question.

  2. Type a Yes or No question by selecting the white text box underneath the Question heading.

    • Remember, the question must be answerable with a ‘yes’ or ‘no.’ For example, ‘Do you have company-issued safety gear with you today?’.

    • There is a 200 character limit per question. We recommend keeping your questions brief and concise.

  3. The Explanation box can add clarity to your question. For example, if a question asks about safety equipment, then the Explanation box would be a good place to remind them what the required safety equipment is: hard hat, vest, steel-toed boots, eye protection, ear protection. This explanation will appear underneath the question.

  4. Select Whom to Ask.

    • Questions can be assigned to user permission levels by selecting the appropriate category under the Whom to Ask drop-down box.

    • Select the group of employees you wish to answer this question by selecting their user group or selecting Everyone to assign it to everyone.

  5. Select Handle “Yes” Response.

    • You need to determine what will happen in busybusy if your employee answers ‘Yes.’ Think about the question you’ve chosen. You can choose three actions if an employee answers “Yes.”

      • Allow Clock In - Choosing this option will allow the employee to clock in without further action. For example, if an employee responds that “Yes, they have all their required safety gear,” then they can complete the clock in process.

      • Flag and Allow Clock In - Choosing this option will allow the employee to clock in, but their response will be flagged, and the administrator will be alerted that an employee’s answer needs attention.

      • Flag and Restrict Clock In - If this option is selected and an employee answers “Yes” to your question, they will not be allowed to clock in themselves for that day. However, a supervisor (with permission to do so within their position) or an admin can clock that employee in if needed.

  6. Select the Follow-Up Dialog box (optional)

    • The Follow-Up Dialog box gives you the option to ask employees a follow-up question if they answer “Yes.” For example, if an employee answers “Yes” to a Covid-19 question, they are asked to Describe Your Symptoms in this Follow-Up Dialogue box.

      • Note: An employee’s response in this follow-up box will not change the Clock In action. The follow-up dialogue will be included with the answer as a note in the Daily Sign In records.

  7. Select the Explanation Dialogue box (optional)

    • The Explanation Dialogue box provides an option to give employees additional information after the Sign-In Question has been answered. For example, suppose an employee answers “Yes” to a question about feeling unwell. In that case, an administrator can use the Explanation Dialogue box to state, “Due to your symptoms, you have been restricted from Clocking In. Please contact your Supervisor for further instructions”. Or if an employee answers “Yes” to the question, ‘Do you have your required safety equipment?’ you can use the Explanation Dialogue to thank them for following company safety procedures.

  8. Choose Handle “No” Response.

    • You need to determine what will happen in busybusy if your employee answers “No.” There are three options to choose from in the case of a “No” response.

      • Allow Clock In - Choosing this option will allow the employee to clock in without further action. For example, if an employee responds, “No, they do not have any symptoms of being unwell,” they are allowed to Clock In.

      • Flag and Allow Clock In - Choosing this option will allow the employee to clock in; however, their response will be flagged. As a result, the administrator will receive an alert that an employee has a questionable answer that needs to be addressed. For example, maybe an employee doesn’t have all their safety gear. You might still want them to be allowed to clock in, but with a flag that they’re missing something, so their supervisor or admin can follow up later and see what the issue is.

      • Flag and Restrict Clock In - If you select this response and an employee answers “No” to a question, they will not be allowed to clock in without a supervisor (with permissions to do so within their position) or administrative approval. For example, if they answer “No” to having all their safety equipment and the Flag and Restrict Clock In option is chosen, the employee will not be allowed to clock in until the next day. A supervisor/admin can clock them in if needed.

  9. Select the Follow-Up Dialog box (optional)

    • The Follow-Up Dialog box provides administrators with an option to ask employees a follow-up question if they answer “No.” For example, if an employee answers “No” to a PPE question, a possible follow-up question might be, “What PPE are you missing today?”. The Follow-Up Dialogue box gives them a place to type their answers.

      • Note: An employee's response in this follow-up box will not change the Clock In action. The follow-up dialogue will be included with the answer as a note in the Daily Sign-In records.

  10. Select the Explanation Dialogue box (optional)

    • The Explanation Dialogue box allows administrators to give employees additional information after the sign-in question. For example, suppose an employee answers “No” to having their PPE. In that case, an administrator can use the Explanation Dialogue box to type, “Because you are missing the required PPE, you are restricted from Clocking In. Please contact your Supervisor for further instructions”.

  11. Click the Create button at the bottom of the window.

Your Customized Sign-In Question will now appear in the Sign-In Question list. Sign-In Questions can be reordered, edited, or deleted.

How to Turn Off Sign-In Questions

Step One: Navigate to the Settings page

  1. From within your busybusy account, scroll down and select Settings using the left navigation menu.

Step Two: Click on Daily Sign In/Out

  1. On the Settings page

  2. Select Daily Sign In/Out.

Step Three: Select DAILY SIGN IN.

Step Four: Uncheck the Sign-In box.

Step Five: Click Update.
