Use Supervisor Tools to Make Life Easy

Are you a supervisor? Do you like tools? Well then, Supervisor Tools is just for you! Here at busybusy, we understand the responsibilities that supervisors have and want to do our part to help you out. Supervisor Tools allow for supervisors to have easy access to perform crew time entry management, bulk break management, time-off regulation, view live totals, and much more! We are positive that supervisors and administrators will appreciate the flexibility of Supervisor Tools.

Supervisor Tools are only accessible on mobile iOS or Android devices

Here are the several workflows primarily used by our clients to track employees time with the Supervisor Tools:

  1. Employees clock their own time. They Switch to different Projects, go on/off break, and clock themselves out. The Supervisor will then oversee this and make any corrections necessary for the employee's time entries.

  2. The Supervisor manages all the employee's Time Entries. He/she clocks them in and switches them to the correct projects/cost codes/equipment and clocks them out at the end of the day.

  3. The Supervisor waits until the end of the day/week/pay period to manually add all the time entries for their Employees.

There are companies whose workflow consists of a mixture of these. For example, the Supervisors manage time entries for a few employees in real-time. The Supervisor creates manual Time Entries for a few, while other employees manage their own time and clock themselves in.

Employees do not have to be listed as Supervisors at their Position level to use these tools. To have access to Supervisor Tools an employee's Positions needs permission to Manage Time for those Positions needing to track their time. To read more about Positions, click here.

What Are The Supervisor Tools?

Supervisor tools have been created to help you get things done faster in real-time. They are displayed at the bottom of the screen from left to right.

Getting Started with Supervisor Tools

Adding Your Crew to Your List from Supervisor Tools

  1. Select the three-line icon at the top left

  2. Select Supervisor Tools

  3. Select Crew Members

  4. Select each Employee you would like to add to your crew

  5. Select Done or Save

How To Edit Employees in Your Crew from Supervisor Tools

  1. Select the three-dot icon on the top right of the screen

  2. Select Manage Crew

  3. Check/Uncheck the Employees you would like to keep or remove from your crew.

  4. Select Done or Save

Employees can be in multiple crews at once. Your crew list is saved to the local device. This works out great for different Supervisors needing to have the same Employee on their list. This will not remove an Employee from another Supervisor's list when they add that employee to their own list. It prevents Supervisors from stepping on each other’s toes. Removing an employee from your crew just hides them from showing up in the Supervisor Tool list, so it can be an effective way to remove clutter for the day or week that an Employee is gone.

Timers

This tool allows you to Clock your crew In/Out easily. It will enable you to view Employees’ clock in state and easily take time actions. Selecting an Employee's name will take you to the employee’s landing page, where you can view the Employee’s Time Card, Reports, photos & notes, etc

Clocking Employees in/out from Supervisor Tools

Single Employee

  1. Select Clock In

  2. Select Project

  3. Select Cost Code

  4. Select Equipment

  5. Select Description and input notes if necessary

  6. Select Done or Save

Crew of Employees

  1. Select the three dots located at the top right

  2. Select Clock In

  3. Click on the Employees you intend to Clock In

  4. Select Next

  5. Select Project

  6. Select Cost Code

  7. Select Equipment

  8. Select Description and input notes if necessary

  9. Select Done or Save

Entries

This new Time Entry view is designed to maximize your workflow when editing Time Entries. We group the Time Entries whenever possible across the crew. Several Employees with similar Time Entries can all be input with a single entry. These groupings are easier for Supervisors to manage. By default, we show the grouped entries for the entire crew for today, with the Total Hours worked shown at the top.

Adding an Entry from Supervisor Tools

  1. Select Entries located at the bottom

  2. Select the + sign located at the top/bottom right

  3. Select Employees

  4. Select Project

  5. Select Cost Code

  6. Select Equipment

  7. Select Description and input notes if necessary

  8. Select Start Time scroll through and select the correct date and time

  9. Select End Time scroll through and select the correct date and time

  10. Verify Total Time if that isn’t the correct amount click and adjust then select done

  11. Select Break Time add or adjust the amount

  12. Select Done or Save

Edit a Group Entry from Supervisor Tools

  1. Select Entries located at the bottom

  2. Use the < > at the top to select the correct date

  3. Scroll to find the desired Entry

  4. Select the pencil icon

  5. Select and scroll to make adjustments needed

  6. Select Done or Save

Add/Remove Employees from an Existing Entry From Supervisor Tools

  1. Select Entries located at the bottom

  2. Use the < > at the top to select the correct date

  3. Scroll to find the desired Entry

  4. Select the row with the Employee's names abbreviated or photo is shown (if they have a profile picture)

  5. Select or unselect the Employees intended for the Entry

  6. Select Done or Save

Delete Entries from Supervisor Tools

  1. Select Entries located at the bottom

  2. Use the < > at the top to select the correct date

  3. Scroll to find the desired Entry

  4. Select the three dots located at the bottom right of the Entry

  5. Select Delete

Split a Time Entry from Supervisor Tools

Splitting a Time Entry into two is useful to break down the Job Costing information into more detail. For example, If your employees forgot to switch their Time Entries throughout the day, you can easily Split the Entry into two or more and allocate the appropriate time to each Project/Cost Code/Equipment.

  1. Select Entries located at the bottom

  2. Use the < > at the top to select the correct date

  3. Scroll to find the desired Entry

  4. Select the three dots located at the bottom right of the Entry

  5. Select Split

  6. Select the time you would like the Entry Split on iOS/iPhones you can also drag the center pin left or right to adjust the Split time

  7. Select Done or Save

You can continue to edit or split the time entries even further repeating the same steps above if you need to allocate more hours to different tasks employees worked on.

Copy a Time Entry to the Next Day from Supervisor Tools

Copying an Entry to the next day is a quick and easy way to manually duplicate an entry that is a continuous project being worked on including the same details.

  1. Select Entries located at the bottom

  2. Use the < > at the top to select the correct date

  3. Scroll to find the desired Entry

  4. Select the three dots located at the bottom right of the Entry

  5. Select Copy to Next Day

Make certain to make any minor adjustments to the entries you're copying if you need to. For example, if an employee didn't work one day of the week, be sure to remove them from that day, or if the team went home earlier one day of the week, be sure to adjust the stop time that day.

Live Totals

The Live Totals will show you the time being tracked for your team in real-time. If any of your team members are clocked in, you will see a clock icon next to their time. It gets updated by the minute. You can also filter by category when you select the dropdown and click on Projects, Cost Codes, or Equipment. These live totals include Time Entries that are open and running. You can also add a manual Time Entry selecting the + at the top right.

Sign-Off

This Sign-Off will show you updated information on the Daily Sign-Off Report. To learn more about Daily Sign-Off click here. If the employee's status says Sign Now the employee needs to answer the daily questions. Select Sign Now and pass the device to the Employee. Once the Employee is done select Submit located at the top right. After the Employees have signed off the number of discrepancies will show at the top. These are also shown with red icons next to the employee's name. The Red Flag icon shows a time discrepancy. The First Aid icon shows that the employee was injured on the job.

Pay Period

This Pay Period shows the total hours for each employee during the current Pay Period. If your company uses Supervisor and Employee Signatures this tab allows for easy management of the signatures, where the Supervisors don’t need to leave this section of the app to view who needs to sign off on their Time Cards. The list of employees will display a checkmark icon showing who has signed off on the Employee Time Cards for the Pay Period you’re viewing. To view previous Time Cards select <> located at the top. Time Off

The Time Off is a great way to keep track and approve of Time off Request for your Employees. Here you can see Upcoming, Previous, or Requests that are pending.

How to create a Time Off Request from Supervisor Tools

  1. Select More…

  2. Select Time Off

  3. Select the + icon in the top/bottom right

  4. Select the intended Employees

  5. Select Next (Accept on Android)

  6. Select the Date then Close

  7. Select toggle for Mutilple Days if needed

  8. Select Type of Time Off then Close

  9. Select toggle for Paid if this is Paid Time Off

  10. Select Done or Save

Progress

The crew Progress breaks down each day so the Supervisor can keep track of the amount of work that is getting done and the amount of time it is taking on each Project. Use the <> to change the day you are viewing. Select the job and it will break down the time on each Code Code listed.

Job Costing Tool

Keep a close eye on the Job Costs for each Project with the busybusy Job Costing tool.

Crew Schedule

With the busybusy Scheduling feature, you can see your Crew Schedule in one spot. You can use the <> to change the day you are viewing.

How to Schedule Crew from the Supervisor Tool

  1. Select More...

  2. Select Crew Schedule

  3. Click on the + icon in the top/bottom right

  4. Select Type to be Work

  5. Select Date and scroll through the month, day and year to select the correct date

  6. If you are scheduling for more than one day of work select the toggle next to Multiple Days

  7. Click on the end date to select the correct date and select Done

  8. Choose a Start Time and End Time

  9. They are not restricted by these times unless you have the Clock-In Restriction turned on within the Positions. To learn more about setting this click here

  10. Select the Project

  11. Scroll down to select the correct Project or click on the search icon, type in the Project and it will appear

  12. If you select the dropdown in the top center you will be able to select a Project by Group

  13. Select the Cost-Code (optional)

  14. Scroll down to select the Cost Code or click on the search icon, type in the cost code and it will appear.

  15. Select a piece of Equipment (optional)

  16. Scroll down to select or click on the search icon, type in the name of the Equipment and it will appear

  17. Choose which employees you’d like to Schedule

  18. Select toggle if you would like to notify Employees

  19. Select Done or Save
